We look forward to having you as our guest. Please read our cabin rental policy carefully and let us know if you have any questions.
Reservations may be made up to 1 year in advance. Persons must be at least 21 years old to rent any cabin and at least 25 years old to rent 8 bedroom and larger cabins. To make a reservation, we require the 1st night deposit & a 45.00 non-refundable reservation fee, 2 nights deposit on 4-12 bedrooms, 7 or more days a 2 nights deposit is required. Acceptable payment methods include check, money order, Visa, MasterCard, American Express or Discover. We do not accept checks under 30 days of arrival. Rates are listed on each cabin page. Balances have to be paid in full on 1-2 bedrooms 7 days prior to arrival, 3-4 bedrooms 15 days prior to arrival, 5-8 bedrooms 30 days prior to arrival, and 12 bedrooms 45 days prior to arrival for 12 bedrooms.
RATES & SEASONS:
The rates for most cabins are at a flat rate up to the maximum number of guests the cabin can accommodate. However, the following cabins do have an extra charge of $15 per night per person for more than 2 guests: #15 Grand View One, and #16 Grand View Two. Rates are also increased during certain times of the year. Please call 1-800-235-2661 for exact rates. Rates are subject to change. No refunds or adjustments will be made for rate changes that take place after the date the reservation is made. Certain times of the year we require more than a 2 night minimum stay. Valentines, Presidents, Memorial, Labor Day, Christmas, June 15th-August 15th & all of October are considered peak season and require a 3 night minimum stay. Thanksgiving requires 4 nights for 1-3 bedroom, 5 nights for 4 bedrooms and up. New Years require a 4 night minimum stay for all units.
We do offer different cabin specials throughout the year, which are listed on our specials page of our website. Some owners also offer different specials which are advertised on each individual cabins page. Specials are limited to one per cabin and can only be applied to new reservations.
CANCELLATION & CHANGES:
You must cancel 14 days prior to arrival on 1-3 bedrooms; 60 days on 4 bedroom or larger; 90 days for our 12 bedroom cabin. Cancelled reservations receive a 90% refund of your deposit, less the non-refundable $45.00 reservation fee. Cancellations less than the 14, 60, 90 days prior to arrival will forfeit 100% of all monies paid. There is no refund for early departures, no shows, 2nd cancellations of postponed reservations, bad weather or late arrivals. Only the guest named on the rental agreement may cancel reservations and it must be in writing. Alpine Chalet Rentals cannot refund any amount of your stay for circumstances outside of our control such as: Acts of God, severe weather conditions, failure of public utilities, mechanical failures, Wi-Fi failures, etc. The same rules as listed above apply to any changes or shortening of reservations. Any changes require a $25.00 change fee.
CHECK IN & CHECK OUT:
The registered guest must contact Alpine Chalet Rentals office and designate one person only as the Check-In-Party. Keys will only be issued to this person. It is the booking guest's responsibility to coordinate all parties arriving separately. Guest arrival at the unit is not permitted prior to designated guest check in at the office. Check-in is at 3:00 pm, NO earlier, 4:00 PM for 12 bedrooms units. During Christmas and New Year’s our check in time is at 4 pm due to the High Holiday volume. Check-out is 11:00 am, no later. If you will arrive after 6 pm, please call the office for instructions. Late arrival should be avoided if possible and can only be allowed for guests with signed rental agreements received by our office. No keys will be left out unless balance is paid and rental contract is signed. When you are ready to leave please make sure you wash all dishes and place trash in outside containers and lock your keys in the lock box and call the office upon departure. A minimum of $100.00 will be charged for late departures unless you have permission from the office.
We are open from 9 am to 6 pm. If you will be arriving after 6 pm please call the office the day of check in to inform the staff of your arrival time. All balances and damage deposits need to be paid in full if you will be after hours. Your map and key will be in our late arrival box at our office. Dogs are allowed in approved pet friendly cabin rentals and only with the prior written consent of Alpine Chalet Rentals. A nonrefundable pet fee of $75.00 will be charged and guests are responsible financially for any and all damages. Sorry, no pets allowed in units that do not accept pets. If it is found that you have an unapproved pet in your unit, you can be evicted without refund and, plus the real cost of any damages.
CONSTRUCTION AND TRAFFIC:
Sevier County is growing rapidly and you may want to plan an alternate route to avoid traffic delays. Call the office and we will be happy to assist you. Construction in the area of your unit is also possible. Please be patient and understanding. Construction is not under our control and will not be grounds for a refund or relocation.
All Units with Alpine Chalet Rentals are privately owned and are decorated and furnished to suit the owner's taste and needs. Accommodations and amenities vary greatly. Please make sure that you inquire about all of your specific needs. The following is a list of basic items you will find in all of our rental homes: Heat & A/C, refrigerator, stove, microwave, toaster, coffee maker, basic pots & pans, dishes, flatware, utensils, Color TV(s), VCR(s) or DVD(s), fire extinguishers & smoke detectors, bed linens, pillows, towels, washcloths and bath mats along with a starter supply of bar soap, dish soap, and paper goods to meet the home's maximum occupancy. Items that are NOT SUPPLIED typically include charcoal, kindling or fire wood, irons & ironing boards, extra blankets, cribs, laundry soap, plastic wrap, foil, coffee filters, condiments, spices or any type of food item. You may wash your towels at the unit or exchange them at the office between 9:00 am to 5:00 pm. Not all homes are decorated for the holidays. Only artificial holiday decorations are permitted and all evidence of any guest decorations must be properly disposed of upon departure. Only artificial Christmas trees are permitted.
Gas fireplaces are turned on From October 1st –March 31. We do not provide wood. Please do not burn anything in the gas fireplaces or do no rearrange logs. Fire codes prevent Alpine from issuing matches, lighters, or kindling to guest during their stay. Do not leave grills unattended.
Alpine Chalet Rentals acts only as rental agent for the owner of the property and assumes no liability or responsibility for injury damage, theft, loss or accident of property or persons, or for conditions beyond our control.
The renter releases the owner or owners of the cabin and Alpine Chalet Rentals from any and all liability for damage to the renter’s person or property of any type, for any reason or cause whatsoever; and renter indemnifying, defending and holding harmless the owner or owners and Alpine Chalet Rentals from any loss, injury, liability, damage or costs incurred due to occupancy of the property.
Alpine makes every effort to assure that all descriptions and representations from our staff, in our brochure, and our internet site are accurate. However, we are not responsible for printing errors, computer errors, or changes made by the owners in furnishings or amenities. Prices, amenities, specials, and / or minimums are subject to change with or without notice.
All units have a specific Cleaning fee and a $45.00 processing fee that will be charged. Please contact the office for exact prices.
In the event a unit becomes unavailable to rent, we reserve the right to move you to a comparable unit or refund your deposit in full, if nothing is available.
Each cabin has a maximum occupancy limit, which will be enforced. If guests misrepresent themselves, they will be required to vacate the cabin immediately without a refund. No house parties are allowed.
Each unit is professionally treated regularly by a licensed pest company, however we are in the mountains and occasionally unwanted guests do make their way inside. Please sweep up any dead insects or call the office if you have live insects and we will have the pest company take care of it.
WEATHER AND DRIVING CONDITIONS:
Weather changes quickly in the Smoky Mountains, so we ask you come prepared. During winter months we strongly recommend you have 4 wheel-drive and or snow chains. Be prepared with extra food and supplies. We cannot provide transportation to your unit. No refunds are given due to weather or road conditions. Our roads are well maintained some may be curvy and steep. No changes in unit or refunds due to steep driveways or fear of heights.
Hot tubs and Jacuzzis should be entered at your own risk. Hot Tubs are cleaned and sanitized before and after each rental. Covers should be left on Tub at all times when not in use. Any Hot tub problems need to be reported to the office immediately. Please do not try to repair the problem, we will be glad to have a technician come out and service your hot tub. Do not stand on the cover, it will break and there will be minimum charge of 375.00 for replacement. People with allergies to bromine/chlorine/water treatment chemicals, children under 16, pregnant women, persons with heart conditions or skin sensitivities should not use a Hot tub. We are not responsible for any reactions, jewelry or clothing damage if worn in the hot tubs. A shower should be taken before and after entering a hot tub per guide lines of Sevier County Health Department. Alpine cannot guarantee, especially after use, that bacteria will remain eliminated by the hot tub chemicals. Should you have any concerns relating to cleanliness please contact our office immediately.
Lotions, perfumes, ect. mixed with chemicals in a hot tub could cause skin irritations or reactions. Always exit the hot tub after 10 minutes of use to give your body temperature time to normalize. Prolonged use may cause rashes or infection. We cannot guarantee especially after use, that bacteria will remain eliminated by the hot tub/jetted tub/swim spa/pool chemicals. Should you have any concerns relating to cleanliness please contact the office.
We make every effort to keep each property and its equipment in good working order. We will strive to make any repairs as soon as possible. We cannot guarantee A/C's, TV's, appliances, etc. It is impossible to guarantee that all appliances, hot tubs, hot water heaters, fireplaces, etc. will be in working order 100% of the time. We do guarantee to make every effort to correct all deficiencies as soon as possible during normal business hours. Report all maintenance problems to the office, Non-emergency maintenance will be handled the next day. We are unable to address problems unless reported during your stay, and not upon departure. Guests should take reasonable action to secure the problem. If your unit has satellite TV and you are confused about how to use it, we will be happy to assist you by phone, however if you insist we send someone to the unit and we find the problem is due to your error, there will be a $25.00 charge. Cable, satellite, telephone, gas, electric and water service are not under the control and cannot be guaranteed by Alpine Chalet Rentals. Your silence indicates full acceptance of the unit and its condition. There will be no refunds for breakdowns or malfunctions of these or no refunds for electrical or cable outages.
Please do not allow outside containers to overflow due to bear & animal problems. Daily trash removal is not provided, however, guests may use the dumpster beside our office to dispose of excess trash during their stay.
SECURITY DEPOSIT LOG:
Guest are responsible for any damage the chalet experiences during their stay that is done by the guest, whether accidental or intentional. Guest will be charges for the damage, such as holes in walls, stains in the carpet, broken furniture or missing items, ect. Guest will also be held responsible for any maintenance bills incurred due to guest negligence, such as : *Diapers, sanitary napkins, ect. Flushed in toilet. *Dish washing detergent run in the dish washer instead of dishwasher powder. Damage to hot tubs and/or hot tub cover. *All Furniture, appliances, electronics and game equipment must not be moved and kept in the same condition as upon arrival. Due to the high expense involving linen, there will be a charge for any lost, damaged, or stolen items. When you get to your cabin, there will be an inventory sheet of all the linen that is provided for you during your stay. If the chalet is excessively dirty then the guest will be charged for an additional cleaning fee. Trash Containers must be closed and latched at all times to prevent city citations that can occur and will be charged to the guest.
Please have your credit card and ID ready upon arrival. In order to insure that properties are maintained and well-cared for, as a security deposit, a hold will placed on your credit card at check-in, $150 on 1 and 2 bedrooms, $200 on 3 bedrooms, $250 to $450 and 4 and 5 bedrooms, $500 on 6 to 8 bedroom and $750 on 12 bedrooms. The hold may remain in effect for up to 10 days. If the deposit is paid with cash, payment will be required at check-in and a check will be mailed back within 10 business days of departure. If there are no damages or extra cleaning charges the hold will be released by your credit card company. No refund will display on your credit card statement since this is simply a hold and not a charge. In the event extra charges exceed $150, the guest’s credit card will be charged the entire amount of all damages or extra cleaning fees. A detail of extra charges will be mailed to the guest. Any disputed charges are to be submitted in writing.
By signing below I acknowledge I have received and read this confirmation letter, and that I agree to the terms provided there-in. I also acknowledge that Alpine Chalet Rentals has permission to charge the credit card shown above for damages to the property incurred during my stay.
We have rules to ensure pleasant accommodations to return to each year. We look forward to your visit and want you to have a pleasant stay.
I have a copy & have read & understand Alpine Chalet Rentals company policies. I understand that it is my responsibility to review the rental upon entry and notify the office of any pre-existing damages to the property: I further understand I am responsible for the condition in which I leave the property when I check out, and will follow the check-out procedures. I understand that I will be billed any additional housekeeping charges, if I have not followed the check out procedures and be charged for damages to the property incurred during my stay. I understand that all properties are privately owned and Alpine Chalet Rentals will not be responsible for accidents or injury on the property of any kind. I understand that Alpine Chalet Rentals will not be held liable for any theft of money, jewelry, personal property or valuables of any kind. I understand if I do have any housekeeping or maintenance issues it is my responsibility to report them prior to checking out, and that compensation will not be given at check out. Your silence indicates full acceptance of the unit and its condition. I understand and agree that Alpine Chalet Rentals reserves the right to refuse service to anyone.
